Three-provider, cosmetic office is seeking an experienced full-time Office Coordinator for a great Renton location with a quiet atmosphere.   The right individual for this position needs to have prior experience in patient scheduling, preferably in EPIC, and the ability to work closely with physicians, referring physicians and their offices.  This candidate must be a self-starter with obvious enthusiasm, energy, finesse and compassion.  Responsibilities include acting as the primary liaison to clinician offices, coordinating initial consults, scheduling procedures and examinations, servicing phone calls and supporting the administrative needs of the providers and office management.

PREREQUISITES:

  • High school diploma or equivalent.
  • Knowledge of medical terminology.
  • Experience with database program applications including MS Word, Excel and Outlook.
  • Exceptional customer service and communication skills.
  • Computer data entry experience and experience answering a multi-line telephone.
  • Requires medical insurance registration experience, including collecting payment at time of service.

QUALIFICATIONS:

  • Minimum of two years working in healthcare, physician office or hospital setting.  Preference given to those with prior experience in vascular clinics, interventional or diagnostic radiology imaging.
  • Excellent verbal and written skills as well as interpersonal communication skills
  • Experience with electronic medical records and an understanding of HIPAA laws and regulations
  • Strong organizational skills and the ability to multi-task.

Requires working as part of a team at the direction of the ARNP, clinicians and billing office administration to maintain effective operations in the front office and smooth flow through the service area.

  • Requires the ability to multi-task, move quickly from one area to another and work under changing conditions depending on the workload.
  • Requires typing, legible penmanship and computer/keyboard skills.
  • Excellent telephone skills are essential.
  • Regular and punctual attendance is a condition of employment.
  • Experience with auto-clave and sterilizing procedure tools required.

 PERFORMANCE RESPONSIBILITIES

  • Expediently and professionally meet and greet customers; answers multi-line telephone.
  • Perform proper patient registration upon check-in,
  • Schedule appropriately for all modalities, utilizing all electronic and paper scheduling guidelines.
  • Obtain from patients and/or scheduling physician office staff all information pertinent to the exam and patient safety, and document appropriately.
  • Prepare paperwork for multiple types of exams.
  • May perform quality assurance, data collection, and follow-up with providers.
  • Files or pulls patient charts and/or reports.
  • Coordinates medical records support management.  Collects supporting medical records as necessary for the patient treatment and consultation process and makes appropriate notation in various software programs.
  • Communicates effectively with the provider staff regarding exam orders and status of waiting patients.
  • Collects payment at time of service, as may be needed for elective cosmetic services.
  • Communicates any concerns and/or questions to the billing office administration immediately.
  • Performs other related job duties as required.
  • Manages prior authorizations, and insurance verifications, ensuring all is accurate and up to date
  • Clean, prep and stock exam rooms on all patient days.
  • Coordinates schedule with multiple sites
  • Prepare and coordinate billing
  • Manage reports and audits as assigned
  • Other duties as assigned
